1. PRE-PARTY:
Communication with the client is key for Mystical Entertainment. We not only try to make the custumer comfortable and confident, it makes us understand the situation a whole lot clearer. We try to gain as much knowledge about your event at least a month in advance. We then follow with a mandatory within a week call. All pertinent information at this point has been relayed.
- Song adjustments
- Find out if there are any extra entertainment so you can create sets to compliment courses
2. COCKTAIL HOUR:
This time should be a re-establishing rapport with the hosts. We always have a grasp of what’s going on with the dancers, DJ, and guest of honor. All mandatory roles are being played out by everyone on the crew. It is important for us as a company to show our true personalities, not only to impress the host’s but also potentially future clients.
- Pep talk with crew (have dancers greet at the beginning)
- Temple talk with mom
- Go over things with maitre’d and parents, lay out the ground work
- Review with DJ
3. HIGH ENERGY ENTRANCE:
Preparation begins approx. 15 min. prior to Cocktail Hour ending. It is our feeling that we get the most out of the Guest of Honor, but mostly importantly, this is the time to set the tone of the event and this is what separates Mystical from other companies, our energy. It is a time for discipline with time and making the right calls with the time allotted. We want to make the Guest of Honor shine, while giving the crowd a chance to meet us.
- Option 1 - music gets everybody up
- Option 2 - talking gets everybody up
4. FORMALITIES:
We are always prepared. As a company, keeping people involved in these situations is vital. All attention must be focused on the Guest of Honor and family. Keeping the candle lighting interesting and alive is what separates good from bad in this situation. Controlled and to the point in any announcements. We inform our crew of all the details.
- Kids sitting on the dance floor
6. MAIN PARTY:
Always communicating with hosts, anything and everything must be in line with their requests. Inform crew of upcoming events. Maintain communication with the crew; Know where your people are: crew, hosts, Guest of Honor, video etc. Control the dance floor, designating dancer to spots etc.
- It pays to ask the hosts how things are at different times of the evening
- Inform them of what is coming up next
- Read the crowd - how are they responding?
- Work with the catering manager
